Planning a destination wedding is exciting, but one of the first and trickiest questions couples face is: "How many guests will actually attend?"

If you’re wondering how to estimate your guest count, you’re not alone! Many couples start with a list of 200 people, only to find that only half actually make the trip. But this is ok! Destination weddings are naturally more intimate than traditional weddings. To avoid overcommitting on rooms or underestimating attendance, we’re breaking down a stress-free formula to help you build your perfect guest list.

The best way to begin? Write down everyone you’d invite to a wedding at home. From here, you’ll categorize them into three groups:
 

• A-List: Immediate family, wedding party, and your closest friends. These are the people who will 100% be there no matter what.
• B-List: Friends and extended family who would love to come, but may have financial, work, or family obligations that could prevent them from traveling.
• C-List: Distant relatives, coworkers, and acquaintances—people you feel obligated to invite, but who are unlikely to attend.

Why does this breakdown help? Because not everyone you invite will actually RSVP "yes"—and that’s completely normal!

Here’s a simple yet pretty accurate way to determine how many guests will actually attend:

= Estimated Final Guest Count
 
Most destination weddings see about 50% of invited guests attend, but this percentage can fluctuate. A few factors that may affect your numbers:
 
Close-knit family & friends? You might have a higher turnout.
Expensive or far-away destination? Your percentage could be lower.
Wedding at an all-inclusive resort? Guests may see it as a fun vacation and be more likely to say yes!

​Now that you have a thoughtful headcount, it’s time to reserve rooms for your guests. Resorts require a deposit (usually $100 per room) to hold rooms for your group.
 
Why does this step matter?
Booking too many rooms = A higher deposit + potential penalties for releasing unbooked rooms.
Booking too few rooms = Late RSVPers may struggle to find a room, or rates may increase.

Not everyone will book their room right away—so it’s important to create a clear booking deadline to give you enough time to finalize details with your resort.
 
Here’s a timeline that works well:
 
14-16 months before the wedding: Send Save-the-Dates and open the room block for reservations.
10-11 months before: Close the room block for reservations. Closing the block creates urgency.
6-10 months before: Send reminders to guests.
4-5 months before: Final payments for guest rooms are due.

Guests who wait too long may miss out on the best rates, so be sure to emphasize the importance of early booking in your invitations!
 
Common Guest List Challenges & How to Handle Them

❌ “Everyone says they’re coming, but no one has booked yet!”
✔️ Solution: Until a guest puts down a room deposit, they aren’t officially attending. Send friendly reminders and emphasize booking deadlines. Your destination wedding travel expert should be able to help with this.
 
❌ “What if more people RSVP ‘yes’ than I planned for?”

Before scheduling a consultation with a potential travel agent, do your homework. A little bit of easy detective work will help you narrow down your list of agents to interview quickly. Hop on their website and social media and poke around. Here are a few things to look for:

1. Read Reviews
​Reviews should be plenty and overwhelmingly positive. If you come across a negative review, don’t worry. Instead of emphasizing the review itself, consider how the agent responded to it.  A professional and fair response indicates that the agent values customer satisfaction and handles issues responsibly. Wedding agents work with hundreds if not thousands of wedding guests per year. The truth is, not all of those wedding guests are happy about the wedding or thrilled about needing to spend money on a trip that they have no control over. Sometimes, no matter how good an agent is, a guest is just not happy. Reviews are always two-sided, so look for trends in the overall feedback.

2. Check for Professionalism
A legitimate agent will have a professional online presence, including a business email address (a Gmail or Yahoo email is just plain unacceptable). Make sure to verify that the agent has a proper business setup, including necessary licenses and E&O insurance, ensuring they operate legally and ethically. Do they display a Seller of Travel number or affiliations on their website? Their social media should showcase client experiences and destination weddings. Be wary of agents who are trying to recruit other agents.

Speaking of recruiting... there are a number of travel MLM schemes to avoid.  In the travel industry, it's crucial to distinguish between real professionals and MLM agents. MLM agents often lack formal training and experience and rely heavily on recruiting new agents rather than focusing on client service.  This "recruiting" it a red flag that can often easily be spotted on social media and websites. 

3. Look for Accolades
Look for resort and industry-affiliated certifications, awards, and accolades, including The Knot Best of Weddings, Wedding Wire’s Couple Choice. Almost all destinations and resorts recognize their top-producing agents, who in turn will proudly display their achievements as confirmation of their expertise and success. These recognitions indicate that the agent has been vetted and is respected in the industry.

Once you've narrowed down your list of potential agents to two or three, you're ready to set up a time to speak with them. When interviewing potential travel agents, consider asking the following questions.

1. "How many destination weddings have you planned?"
Experience is important for stress-free wedding planning. To be fair, we understand that everyone needs to start somewhere, but do you really want your wedding to be their first? 2. "Do you specialize in destination weddings, or do you handle other types of travel as well?"
Lean towards agents that ONLY plan destination weddings. Think of it this way… if you have a heart condition, would you prefer a general practitioner or a cardiologist? You would want the specialist, of course! A wedding-specific agent is honed in on the wedding industry, the resorts, the process, and most importantly, your expectations. They live and breathe wedding travel and are far more invested in the process.

But as thoughts of organizing travel for 50 guests, planning from hundreds (or thousands!) of miles away and potential language barriers creep in, it can quickly become very overwhelming. Don’t be discouraged! If you’re planning on having guests travel with you for your destination wedding, chances are you have been wondering about group discounts and perks and how to manage it all. Let’s take a closer look at group reservations and options.

GROUP RESERVATIONS

The average size destination wedding is about 50 guests, or 25 rooms. Wedding travel agents are very well versed in negotiating and navigating group contracts and terms. Read everything! It is easy to make inaccurate assumptions that can cause issues down the road. Make sure you understand what you’re signing.

Most group contracts require a 10-room minimum. This means if you fall below 10 rooms in your block, you will need to pay for the extra room/s to get you to 10, or your group will be considered a cancellation. If you can’t guarantee 10 rooms (your room + 9 others), don’t sign a group contract. Guests are still responsible for their own rooms and payments, but all the rooms in your group are yours. You own the group.

Group contracts have set booking and payment deadlines. These deadlines are set by the resorts and outline when penalties increase. Don’t expect to negotiate on these deadlines. They will actually help you by creating an incentive for guests to book early. After all, you can’t plan your wedding until you know how many guests are coming for sure, and the only way to know this is to have guests book.

INDIVIDUAL RESERVATIONS

Group contracts can be overwhelming, for sure. But, for wedding groups, a group block is definitely the way to go. If you just can’t or don’t want to sign a group contract, all rooms for guests will be booked like individual vacations. All guests will pay different prices, rates can change drastically, rooms and resorts can (and will) sell out so some guests may not be able to attend even if they want to, and there are no freebies for you to take advantage of.

Most Romance Travel Group couples (like 95% of them!) sign group block contracts. We find that the perks and benefits of having rooms blocked and rates locked in make it so much easier for guests to book. The freebies are nice, too!

But first, there are two types of destination wedding ceremonies:
 
Legal
A legal ceremony is when you receive a marriage certificate from the destination you’re married in, and is recognized legally back home. A legal ceremony typically requires more paperwork, a judge, additional fees, and occasional blood tests.
 
Symbolic
A symbolic ceremony has no legal binding, and makes up approximately 80% of all destination weddings.
 
Popular Destinations: Ceremony Requirements

Mexico
As one of our most popular wedding destinations, the bride and groom will receive no legal bearing in this symbolic marriage. In fact, the only civil ceremony that is legally recognized in Mexico, must be performed by a judge. A blood test is required for this.

Dominican Republic
If you decide to wed here, keep in mind the only legal ceremonies are the ones performed by the judge or Catholic priest. Be sure your paperwork is notarized and translated into Spanish, which will typically add an additional $500-800 to your wedding costs. 

Jamaica
Both civil and religious ceremonies performed by a minister are legally recognized in Jamaica. Jamaica is one of the easiest countries to have a legal destination wedding!

Costa Rica
Costa Rica offers legal ceremonies if they are performed by a judge. Religious ceremonies or vow renewals will hold no legal bearing, as they are considered symbolic.
 
Our Recommendation

Typically, we recommend the bride and groom go to their local courthouse, obtain your license and file the paperwork to become legally married before their destination wedding. This takes a ton of stress off during the trip.  Abd don't worry!... a symbolic destination wedding ceremony is performed just like a legal ceremony (just without the paperwork!) so your guests will never know the difference!

It’s a waste of money…
For a traditional wedding, it’s not unusual to send out formal invitations with a pretty little RSVP form attached. But for a destination wedding, it’s a bit more complex when you factor in travel arrangements, accommodations, and airfare. We recommend keeping track of your guests’ reservations online, as it’s much easier and saves you on the added postage.
 
…and a waste of time
Another reason RSVPs are unnecessary, is because we track them all for you! We’ll keep tabs on who is traveling with who and when, so you don’t have to be scrambling for final numbers the week before your wedding – eek!
 
The “false positives”
As we mentioned above, there’s a bit more your wedding guests will have to consider before they can give you a definite yes or no. For example, they’ll have to plan their budgets, take time off from work, make arrangements with their babysitters – all of which could present too many “false positives” if you required an RSVP.
 
Here’s what we’ll do instead…
Our process is much simpler than sending out RSVP cards! In fact, for a destination wedding, the guest’s room deposit serves as their RSVP. Once that deposit is paid, it’s pretty safe to assume that your guest is in fact, coming, and you can count them in for dinner! See… easy-peasy!

Why did you choose Romance Travel Group?
Romance Travel Group was referred to us from a friend who had a wonderful experience attending her brother's wedding in Mexico planned by RTG, then they utilized RTG for their own wedding which we were lucky enough to attend in the Dominican Republic. What led you to choose a destination wedding?
We loved the intimate setting that the beach provides for weddings, limited decorations are needed when you have such a beautiful backdrop. We are both lovers of nature and the outdoors and couldn't think of a better place. We also have family that lives all over the U.S. so travel was going to be a part of our guest's plans regardless of where our wedding was held.

How did you select the resort? What were the deciding factors?
When looking at resorts we knew we wanted our ceremony on the beach so we searched for a beautiful beach, which is not hard to find in Mexico! Then we knew we wanted an adult-only resort with a unique feel. We looked at several chain style resorts but wanted something one of a kind with wonderful food and expansive pools, this led us to UNICO 20 87!

Describe what it was like working with the wedding coordinator at the resort? What went well? Any challenges?
Our on-site wedding coordinator Diana was absolutely amazing! She was kind, courteous, and compassionate. She offered suggestions to make our day perfect!

How do destination wedding vendors work?
 
Typically, your destination wedding resort will provide you with all the vendors you’ll need. However, this isn’t set in stone! If you have a preferred wedding vendor back at home that you’d like to bring in for the big day, it’s totally doable!
 
Is there a vendor cost?
 
As long as the vendor you’re bringing in is staying at the resort for three nights, you will not have to pay extra to use them. However, if you hire a vendor that is local to the resort and they are not on the resort’s vendor list, be prepared to pay hefty “outside vendor fees” that can range anywhere from $500 to $2000 each!
 
What types of vendors do couples bring in?
 
While this can vary, most couples bring in a  hair stylist, make-up artist, photographer, videographer, or DJ (minus all the equipment!)
 
How should I plan my outside vendor’s travel arrangements?
 
Typically, the bride and groom will cover all travel expenses for their outside vendors. But be sure to ask them if they will negotiate travel costs for their services. Consider asking "if we cover your travel expenses, will you take all the photos of our destination wedding?" 
 
How will my vendors plan for the big day?
Not to worry! Your onsite wedding coordinator will make sure your outside vendors are connected with her team and appropriate staff, so they know exactly what to expect.

Group Excursion
A really unique way we’ve seen couples thank their wedding guests is to set up a group excursion. Not only is this a great option to get everyone together, but it’s an experience your guests will remember forever! No Plan B
Chances are, if you’re having a destination wedding, you’re probably having it outdoors, on the beach or in a garden. With tropical climates, sporadic rain showers are to be expected. Be sure to discuss back up locations with your wedding coordinator. Most resorts have a Plan B ready for you just in case.
