Destination Try to keep travel times within reason. For example, you won't want to plan a Hawaii wedding if guests need to fly for 9 hours and can only stay for 3 nights. Likewise, the more exotic islands can often require multiple airline connections (sometimes even overnight stops!) to get there. All guests will need a passport. Most resorts will require the couple and witnesses to arrive 3 full days prior to the wedding ceremony. Go where the all-inclusives are!... Mexico, Jamaica, Dominican Republic are the main beach destinations with an abundance of all-inclusive resorts to choose from. Location Location within the destination is also important to be mindful of. Most couples don’t want resorts that are more than an hour or so from the airport. All transportation is included, but after an early morning and a 4-5 hour flight, the last thing guests will want is a 2-hour drive to the resort. Do you prefer a resort in the “hotel zone” so you’re close to clubs and shopping? Or do you prefer the quiet and privacy or a more spread out beachside neighborhood? What will your guests prefer? Budget Consider how much you're comfortable having your guests pay for a 3 night vacation. Typically, budgets start at $1200 per person for a 3-night, all-inclusive vacation including air, hotel, transfers, meals, drinks, tips and taxes. Remember though, you get what you pay for. Atmosphere The overall vibe of the resort is important. It sets the tone from the minute you step onto the property. Do you like the pools? How do the rooms look? Are there enough restaurants? How is the beach? Adults-only vs. Family-friendly Adults-only or family-friendly is one decision that often stumps some couples. "We really want adults-only, but we have one or two young kids in the family." Ah, we hear you! Even one child means we must go with a family-friendly resort. Adult only resorts require all guests to be 18 and older. Our best advice is this... do what YOU want. It is your wedding. If you really don't want children around in the pool, at dinner, you have every right to choose an adults-only resort. Asking how many guests you'll have is always a tricky question because in reality, we don't know!! Everyone will tell you "Yes! I'm coming!" but until they confirm their room reservation with a deposit, you just can't count on it. Since you do need to know how many rooms you'll need for your room block, it is important to have a rough idea of how many guests will attend. Start by making a master guest list and include everyone you would invite if you were having a wedding at home. Then, start breaking it down. We've come up with a pretty easy way to sort your guest list into your A, B and C lists.
Add together all of your A list + half of your B list to get a close estimate of the number of guests who will travel for your wedding. This is who you need to set rooms aside for.
For example: A list has 42 guests (count all 42 guests) B list has 88 guests (count half, so 44 guests) C list has 25 guests (do not count) The expected turn out here would be 42 + 44 = 86 guests. Assuming 2 guests per room, you'll need 43 rooms. Don't stress over this! Just remember, you'll never know for sure until guests are all booked, and that's ok. Looking for more great tips like this?
