Choosing The Right Destination Wedding Resort

​We know choosing the resort is one of the most challenging steps to planning your wedding. There is just so much to look at and after a few hours, they all start to look the same. Sound familiar? This is why working with the experts at Romance Travel Group is so important. We know the resorts inside and out. We know which resorts are easy to work with, and which ones are not. We know who has the best group amenities and wedding packages. After our first call, we put together a custom list of resorts chosen specifically for you, based on the details we discussed. Think of us as your resort match-maker!

EXPERT TIP:  To make choosing a resort easier, only focus on the resort for now. Set the wedding packages and venues aside and look at the resorts for what they offer for a vacation. Where can you see yourself hanging out with guests? Do you like the pools? How are the rooms? Are there enough restaurants? What’s the beach like? Do you like the overall atmosphere and aesthetics of the resort? All the resorts have packages and multiple venues, and we’ll get to that, but for now, focus on a “vacation resort”, then we can layer back in the wedding details when you know which resort you like best.

Consider these things...

Destination
Try to keep travel times within reason. For example, you won't want to plan a Hawaii wedding if guests need to fly for 9 hours and can only stay for 3 nights. Likewise, the more exotic islands can often require multiple airline connections (sometimes even overnight stops!) to get there. All guests will need a passport. Most resorts will require the couple and witnesses to arrive 3 full days prior to the wedding ceremony. Go where the all-inclusives are!... Mexico, Jamaica, Dominican Republic are the main beach destinations with an abundance of all-inclusive resorts to choose from.
 
Location
Location within the destination is also important to be mindful of. Most couples don’t want resorts that are more than an hour or so from the airport. All transportation is included, but after an early morning and a 4-5 hour flight, the last thing guests will want is a 2-hour drive to the resort. Do you prefer a resort in the “hotel zone” so you’re close to clubs and shopping? Or do you prefer the quiet and privacy or a more spread out beachside neighborhood? What will your guests prefer?
 
Budget
​Consider how much you're comfortable having your guests pay for a 3 night vacation. Typically, budgets start at $1200 per person for a 3-night, all-inclusive vacation including air, hotel, transfers, meals, drinks, tips and taxes. Remember though, you get what you pay for.
 
Atmosphere
The overall vibe of the resort is important. It sets the tone from the minute you step onto the property. Do you like the pools? How do the rooms look? Are there enough restaurants? How is the beach?
 
Adults-only vs. Family-friendly
Adults-only or family-friendly is one decision that often stumps some couples. "We really want adults-only, but we have one or two young kids in the family." Ah, we hear you! Even one child means we must go with a family-friendly resort.  Adult only resorts require all guests to be 18 and older. Our best advice is this... do what YOU want. It is your wedding. If you really don't want children around in the pool, at dinner, you have every right to choose an adults-only resort. We can, however, recommend family resorts that are not "childish" if this is a concern. Just let us know.

Destination Wedding Guest List

Asking how many guests you'll have is always a tricky question because in reality, we don't know!! Everyone will tell you "Yes! I'm coming!" but until they confirm their room reservation with a deposit, you just can't count on it. Since you do need to know how many rooms you'll need for your room block, it is important to have a rough idea of how many guests will attend.  Start by making a master guest list and include everyone you would invite if you were having a wedding at home. Then, start breaking it down.  We've come up with a pretty easy way to sort your guest list into your A, B and C lists.

​Guests on your A list are those who you know will be there no matter what. These guests include parents, family, bridal party and your closest friends.
Guests on your B list are those who would love to travel with you, but just may not be able to for one reason or another.
Guests on your C list are those you feel obligated to invite, but you know there is a very small chance that they will travel for your wedding.
​Add together all of your A list + half of your B list to get a close estimate of the number of guests who will travel for your wedding. This is who you need to set rooms aside for.

For example:
A list has 42 guests (count all 42 guests)
B list has 88 guests (count half, so 44 guests)
C list has 25 guests (do not count)

The expected turn out here would be 42 + 44 = 86 guests. Assuming 2 guests per room, you'll need 43 rooms.

Don't stress over this! Just remember, you'll never know for sure until guests are all booked, and that's ok.

Wedding date?

The more flexible your wedding date is, the more resort and venue options you will have. Destination weddings happen 7 days a week, but we get that most guests are going to prefer having a weekend stay to avoid taking extra days off work. Most weddings happen on Thursday, Friday, Saturday, Sunday and Monday. The date also impacts the room rates, so if you're flexible, we can suggest the months when prices are lower. The Best Months for a Destination Wedding

​Not sure when to have your destination wedding? Is your date flexible? Are you looking for the best deal? Girl, we hear you! Keep reading to learn which months are best for destination weddings in Mexico and the Caribbean.

Low Season - ​Low season runs from September through November and early December.  Historically, low season always meant low prices, empty resorts, but the perks and value of low season have caught on and resorts sell out during this time of year as much as they do during peak seasons. Low season coincides with hurricane season, which runs June through October. Don’t let this scare you! The risk of being affected by a hurricane on your date, in your location, is actually very low. 
Mid-Season - ​Mid-season runs from Easter though August and again in early January for a week or two. You can expect pretty average rates and decent weather, making it a safe option for your destination wedding. The summer months are busy with family travel since kids are out of school. Weather is hot and sunny, but the ocean breezes cool things down in the evenings.

Peak Season - Peak season starts in mid-January and runs through Easter. This is the time of year when everyone is looking for a vacation and the resorts are full. Elementary schools through colleges have spring breaks, so a lot of group and family travel happens in peak season. Room prices are at their highest, and inventory is limited. Many resorts limit group perks during peak seasons since they know their rooms will already be sold out. 
Holiday Season - Yep, you guessed it! Room rates are at their highest during the holidays and resorts are often sold out months before travel. Major holidays like Thanksgiving, Christmas, New Year’s and Easter are all included, of course, but also holidays like President’s Day and MLK Day…  anytime state offices and banks are closed. In addition to high prices, most resorts have “black out” periods around these holidays and offer no group rates or perks. Even travel insurance can cost more over the holidays.

But as thoughts of organizing travel for 50 guests, planning from hundreds (or thousands!) of miles away and potential language barriers creep in, it can quickly become very overwhelming. Don’t be discouraged! We’ve broken down the initial planning process into these 3 steps to help ensure that your destination wedding goes smoothly and is everything you've dreamed of and more.  Keep reading to see how easy it can be!

1. Partner with an experienced Destination Wedding Travel Agent

​​Working with a destination wedding travel agent is essential for smooth and seamless wedding planning. A good agent will help you navigate the process and handle all the details both for you and your guests, making sure every detail has been attended to. Look for a travel agent who has experience planning destination weddings and is familiar with the locations you're considering. Any agent can book a trip, but you need someone who can book a wedding AND a trip for many guests. They should also be organized, responsive, and able to provide resort recommendations based on your preferences, style and budget.

2. Choose the Perfect Resort

​The resort you choose for your destination wedding will set the stage for your entire event, so it's important to consider the best options and choose what’s right for your group. Consider factors such as location, price, amenities, atmosphere, adult only/family friendly, beach, wedding venues, restaurants and size. Group amenities (the perks you’ll earn for hosting your wedding there) also play a big factor when choosing a resort, and is something your travel agent should go over with you.  Your travel agent knows which resorts are easy to work with and provide the best experiences. 3. Select a Memorable Wedding Date

​​Choosing the right wedding date is important for a destination wedding. Consider the weather, peak season, and holidays, as these can impact prices and availability. You may also want to choose a date that has special meaning to you, such as the anniversary of your first date or the day you got engaged. Trendy dates, like 4/24/24 or 5/5/25 book up quickly, so think ahead and move quickly if you want to secure something unique like this. Most importantly, try to be flexible with your date. Saturdays tend to book up first, but destination weddings happen every day of the week. Why not consider a Monday or Thursday to avoid the crowds and demand?
