So, what’s the secret to getting the best airfares when you’re traveling to Mexico and the Caribbean? We're here to tell ya! If I had a nickel for every time I was asked “do you think airfares will go down,” I’d be a millionaire. We spend hours upon hours looking for the best airfares. We wait weeks just to see if airfares will drop. Sometimes someone will get lucky. But more often, we end up booking an airfare pretty close to the airfare we originally found before we invested our time and energy into trying to beat the rate. So, what’s the secret to getting the best airfares when you’re traveling to Mexico and the Caribbean? The major airlines (Delta, American, United) release their flight schedules 331 days in advance of travel. This means you can start looking for airfares 331 days prior to your flight home. However, some smaller airlines (Southwest, Jet Blue, Sun Country) only release their flight schedules within 6 months of travel. So, for about 5 months, the major players have less competition, and airfares tend to be higher. We always recommend looking, and of course if you see something good, book it. But if airfares are high, wait until all of the airlines have their schedules released, then get serious about booking. If you’ve already passed the 6 month mark and airfares are still high, pay closer attention to doing your price checks on Mondays and Tuesdays. We tend to see airfares climb as the week goes on, then drop off after the weekend as Monday rolls around again. If you’ve been diligent about watching and airfares still are not budging, there is a very good chance that they just won’t. If you are 2-3 months before travel and still haven’t booked, just book it! It is costing you more in time and effort at this point, and any potential savings more than likely won’t make up for your time investment. Here's Some Possible Scenarios...For example, say you book Resort ABC... If you book 15 rooms, you earn $20 per room to spend on a Cocktail Party. That's $300 earned. BUT, if you have 50 rooms booked, you earn $22 per room to spend on a Welcome Party, $22 per room to spend on a Cocktail Party, and $43 per room for the Reception Dinner Party. That's a total of $4350 towards your wedding - just for having a larger group! Or, say you decide to go with Resort XYZ... If you have 15 rooms booked, you earn a Cocktail Party for 2 hours. This includes the food, drinks and staff. BUT, if you have 50 rooms booked, you earn 2 parties for 4 hours each. This could be a combination of your wedding reception and welcome party or a cocktail party and a farewell brunch, etc. The options are endless! Bottom line? We sat down with destination wedding photographer (and past destination wedding bride!) Andrea Dobbs and asked her a ton of questions about what she does, how things work, and we got a whole lot of tips and tricks along the way. Sit back, grab your favorite hot beverage and settle in for everything you need to know about destination wedding photography! What’s the #1 question couples ask you?
Honestly, it is a tie between two questions… Q1: How many hours/pictures will you photograph and how many will we get back? A1: I take pictures the day before by the pool and before the groom’s dinner & the entire wedding day. I give back between 500-700 edited images in the gallery and the couple have all the printing rights. Q2: How much time do we need for pictures? A2: To figure out your timeline, we work backwards from your ceremony time. Generally, it has been the most efficient to time things in 30 minute increments. It builds in good buffers in case a few things take longer than expected. I take pride in adjusting and making things work out on the fly. Every resort and day is different, so I try to utilize parts of the resort that are shaded during group pictures. I look for places that are beautiful but will also keep everyone semi cool and fresh for the ceremony. Again, it’s a go with the flow decision making process but I always have options ready to go and make the most of every situation. The timeline below is where the main wedding photos start if you want all the good stuff! I usually show up or go back and forth from the girls’ room to the guys’ room and get a few getting ready candids of each. 12:30: Bride Detail shots / Getting in Dress 1:30: First Look 2:00: Bride / Bridesmaids 2:30: Groom / Groomsmen 3:00: Entire Wedding Party 3:30: Family 4:00: Chill Cool Down 4:30: Ceremony 5:00: Group Picture of Everyone by Beach/Ceremony site. 5:15: Usually the best lighting by the beach also less wind. I prioritize a few more group wedding party photos and then send everyone off to enjoy the cocktail hour with the other guests. 6:00: Just the Bride and Groom. Best sunset glow and a fun time to be alone with the couple at the beach. It’s fun showing up to the cocktail hour with them and snapping candids with the newly married couple and all of the guests before the dinner. If a bride really loves pictures and likes a strict timeline, I suggest starting all of this an hour before what’s above! So instead of chill time 30 minutes before, allow an hour of chill time. Occasionally resorts run behind and if you’re a planner and want to stay on track without being stressed, start earlier. That way if you’ll have more time before the ceremony where you can hangout, have a cocktail with your friends and be super relaxed! It’s also generally very warm so a longer cool down before you walk down the aisle is always amazing. You can touch up your hair and makeup too. Q3: When do you fly in and depart? A3: I fly in two days before the wedding and leave the day after. In my package I charge $2,600 + 3 nights stay. The flight is already factored into the $2,600, along with the two days of shooting and edited images. The reason I charge separately for the 3 nights stay is because each resort has different pricing. I like to fly in two days before the wedding to ensure I’m there the day before to scout out the resort, plan where to take the best photos and assess lighting. I’m taking photos from the minute I show up and until I leave to return home. Q4: Where are the best places to take pictures? A4: Circling back to the above question, typically during the day the beach and ocean are windy and very sunny areas. These spots are best during twilight and sunset! Carve out an hour after your ceremony to use the beach and the pictures are always stunning! During the day after getting ready I like using the shadier parts of the resort where the flowers are lush and landscaping is generally pristine. These are perfect areas to keep us cool and avoiding squinting. Q5: Do you see any trends with destination weddings happening? A5: Oh yes! - Boho Aesthetic - Lighter Blush Neutral Tones - Hairstyles: Low fishtails brides, beachy wavy hair - Groom/Groomsmen Linen suits - Fun pool wear / funny suits / matching Q6: What are your top 3 pieces of advice about choosing to have a destination wedding? A6: First, do what you want as a couple and stand your ground. Family can get really get weird about their opinions right away and that can be sad and discouraging. Talk about your plan together first, be excited about what you really want and let comments slide if people need to express their “not so nice” opinions. Remember that this is your wedding and keep what you both love as your #1 priority when deciding things. Next, use communication apps! Whats App is amazing. Make different chat groups for your guests in addition to one big chat group for the entire guest list. This is fun so everyone can meet up during the day either at the same pool or bar. It’s a great tool to see if anyone wants to make a dinner reservation or meet up anywhere at night if something fun is going on. Make another chat for the wedding day. I like being in chat groups with the Bride/ Bridesmaids - Grooms / Groomsmen / & entire Wedding Party / Family. This way we can communicate where to be for pictures and if anything is running behind. Make these chat groups before you fly out. It’s also a nice communication tool for anyone flying alone. You can meet people at the airport or possibly know if they are on your shuttle to the resort. Lastly, kind of a loaded answer in general about the resort. When you’re picking a resort think about the size of the resort. Are you ok with a big resort? Do you like the idea of everyone being closer together? Do you like nightlife and entertainment. These were big factors when we chose our spot. We wanted fun entertainment and atmosphere at night and liked the idea of the resort not being super massive so we could gather together easier. Your travel agent will be a huge help with all this! Q7: Are there things couples can do to help make the most of their time with their photographer? A7: Talk and plan as much as you can before getting to the resort! Once you arrive at the resort you will be busy! You’ll be checking in with your wedding coordinator, finding your way around and greeting your guests for a day or two. The last thing you want to worry about is your photographer. Trust that when I arrive my first mission is to check out the resort and plan where pictures will be taking place. The day before I will have the details ready for you and a plan sent to the wedding chat groups. Q8: Do you have a signature shot or pose? A8: I have my go-to candid shots that I love doing with my couples and wedding party! Right away I like to be a jokester and joyful. I love keeping things exciting and try not to do any “posey” stuff right away. If you get people laughing and genuinely having fun, it’s easier to keep the morale of the group going. Spirits are usually up especially for the guys if you can incorporate some drinks, cigars, cheers and fun stuff like that. Transitioning into the more typical poses towards the end is a breeze if things start out fun and not so ordinary. If a bride has a veil I love being creative with that. A destination wedding is unlike any other. People are honestly having such a fun time it’s hard not to love every minute of it. The mood of the wedding party is typically cheery and the best kind of relaxed, at least with all of the awesome people I’ve met so far. Q9: What is the best time of day for a ceremony? A9: I would say an hour or hour and a half before sunset. We need good natural lighting! Q10: Why do you love shooting destination weddings? A10: I love traveling, the outdoors, and variety. I feel most creative in new spaces and environments. It’s the most refreshing burst of creativity walking into a resort and thinking “how can I show off this beauty”. I want to capture the candid moments from everyone engulfed in it. I love meeting new people and can call a handful of them my friends after each wedding. When the couple looks at their wedding album, I want them to instantly remember how fun it was and let the flood of emotions bring them back to one of the best vacations ever. Creating the guest list for your beach wedding isn’t as stressful as you think! Here are some fool-proof ways to get it done with ease: #1 Get Organized To get a better idea of how many wedding guests to expect at your destination wedding and how many rooms to reserve, get yourself organized by creating a chart in Excel or something similar so you can visualize everything side-by-side. Create a master list of all the guests you plan to invite. #2 Identify "Yes" Guests Now we're going to divide up your master guest list into three columns, A, B and C. Under the A column, put all guests you know will be at your wedding no matter what. These people include your bridal party, your parents and grandparents, and any close friends that wouldn’t miss it. Consider these people your “A List”, aka, anyone that is a definite yes. #3 Remove The No's Jump over to column C. This is where you will list the guests you must invite, but you know that there is no way they can make it for whatever reason. They will still be invited, but you'd be very surprised if they show up. This is your No list. #4 Identify "Iffy" Guests Now, create your B column for the guests you know would love to travel with you, but you're just not sure they'll be able to make it. These guests could go either way. Keep in mind, about 30-40% of your invited guests actually attend – but don’t let that worry you! This just means you could open your guest list up a little more than a traditional wedding guest list. Consider these people your “B List”, aka, anyone that is a maybe. #5 Estimate Total Head Count Add up all of column A and half of column B. This is your estimated guest count. It is still a work in progress, but you'll be able to get a better idea of how many rooms, chairs and pieces of cake you'll need. #6 Let Your Destination Wedding Specialist Know Now that you have a rough idea, you should contact your destination wedding specialist ASAP so they can begin the reservation process, identify group upgrade opportunities, and more. Why spend nearly $40k on a traditional wedding, when you can have a unique and intimate destination wedding for under $10k? Here are seven tips for keeping your budget in check without sacrificing any of the fun or frills: Go All-Inclusive For the best value, we highly recommend going all-inclusive. When all your meals, drinks, entertainment, airport shuttles and taxes are included, guests can gauge their budgets and plan accordingly. This is especially true for wedding groups, as the cost you pay for private dinners and events is significantly reduced. Convenience is also huge reason couples opt for all-inclusive. It is the best way to travel! Pick Off-Season The best rates are found during off-season in September and October. Besides the best room rates, you’ll find that resorts have lower occupancy levels during this time, leaving plenty of pool chairs open for everyone. November and December are also good options, as long as you avoid the holidays (when rates and occupancy goes way up)! Choose a Simple Setting A big draw to having a destination wedding is the natural and intimate setting it presents. Not only will it save you money on venue costs, but sometimes less really is more. After all, nothing says “I love you” like some swaying palm trees and an ocean view! Bring Your Own Vendors Have a photographer friend or hair-stylist BFF? Perhaps a DJ’ing college roomie? Well, then, you’re in luck! As long as these pros are staying at the resort with you for three nights, they are not typically considered outside vendors and you won’t have to pay extra to use them. Free Wedding Package Most destination wedding resorts offer a complimentary wedding package, which covers all the elements you’ll need to pull off the perfect wedding. Some even offer an extravagant package that includes more than you’ll ever need. We recommend starting out with the basic package first, then add in where it makes sense! Most couples stay at the wedding resort for 5-6 nights while guests are there, then move to a new resort where you can honeymoon for 3-4 more nights. This will save you a lot in airfare! Now you're probably wondering - do I need to tip the vendors at my destination wedding even though I'm having it at an all-inclusive resort? Well... technically everything is included (that's why destination weddings are so affordable!), buttt, we'd also like to point out that you'll find many of your vendors go above and beyond to make your day super special. Here's a list of vendors and amounts we recommend tipping below! Tipping Your Destination Wedding VendorsMakeup Artist/Hair Stylist - 20% Photographer - $100 Videographer - $100 Florist - Between $50-$100 - depending on the extend of services provided Other Staff to Consider TippingWedding Coordinator - $100 Waitstaff - $100-$200 depending on size of staff Officiant - $50 Do you Tip the Owners?Great question! Usually, the owners of a photography business (or similar) aren't expecting a tip; however, it's still a nice gesture to tip your vendor based on the level of service provided. How did you select the resort? What were the deciding factors?
We selected our resort in particular because it was a newer build and we had stayed at a different location of the Dreams resort chain in the past. We never actually saw our venue until we got there for the wedding weekend, so it was somewhat of a gamble, but we trusted that the service and food would be great just like we had seen at the other Dreams location. Lastly, we found that the prices they were offering for our guests’ nightly stays were reasonable for all that was included, and the resort threw in some extras for things like rehearsal dinner and additional rooms when a certain amount of people booked. Describe what it was like working with the wedding coordinator at the resort? What went well? Any challenges? Our wedding coordinator at the resort, Jennyfer, is a miracle worker!!! She was so polished, kind, and amazing at putting together our dream wedding. We were truly blown away. She cranks out weddings with her team almost nightly, sleeps very little because of that, and you would barely be able to tell. She is so attentive to detail and passionate about making everything look and feel great, including the bride on the big day. Describe the booking process for your guests. Did they find that to be easy to navigate? The booking process was online and very easy for our guests to navigate. From what I’ve been told, when any of our friends and families had a specific question they wanted Shelli or Heather’s help with, they were always quick to respond and offer their assistance. What were some of your biggest fears or things you worried about as your wedding date drew near? How did you get through this? Most of my big fears were Covid related - specifically that the resort would have to shut down, there would be border closures, or that we would have to last minute postpone and throw everything off. I was also worried about forgetting important items at home. I eased my worries, though, by realizing that nothing productive really ever comes from anxiety and by creating an extensive and detailed packing list that I stuck to while we prepared the week before leaving. Describe the meeting you had with the onsite wedding team when you arrived at the resort. The wedding we had with the Dreams Team once we arrived was very extensive - probably lasting about an hour and a half long! While it was tiring to go through it all and I was bummed we were missing time with our guests, I knew it was necessary and I really appreciated their willingness to work out and confirm all of the little details with us! Were your guests wowed by the resort and the all-inclusive concept? What was their reaction upon arrival? Our guests seemed to love the all-inclusivity and general charm of the resort. We kept getting comments during and after the weekend about how much fun everyone had just being able to relax and not worry about the cost once they got out there. Tell us about your wedding – did you have a traditional wedding with a cocktail hour, dinner reception and dance? What was different about a destination wedding compared to a wedding at home? We had a traditional wedding ceremony with cocktail hour, then a plated meal, speeches and dancing. I loved the set-up of that and I would say a difference between what we were able to do and what we would have had at home was that we had a long cocktail hour where people were told they could even go up to their rooms and freshen up if they needed to, and that at the end of the night, everyone could just go right up to their suites and not worry about Uber’s/driving. There was also no driving to different venues for the ceremony versus reception as everything was just a short walk apart. What was the best part of having a destination wedding? The best part of having a destination wedding was how close all of our friends and family members were able to get because of time spent together just hanging out before the big day. Everyone seemed to just make a vacation out of it, which is exactly what we wanted. It’s also so nice as the bride and groom to be able to mingle with guests over the course of a few days and not have to worry about fitting it in all in one evening during a reception! What is your most favorite memory of your wedding experience? My most favorite memory of the wedding is hard to choose, but I would have to say it was either walking down the aisle towards my best friend or the end of the reception where after what was supposed to be our “last song” (New York, New York by Sinatra), our friends started singing (screaming, really) the words to Mr. Brightside until the DJ finally caved and just turned the song on. Next thing we knew, my new husband and I were hoisted onto shoulders in the air, and it was so much fun. I know it was after our reception’s time was “up,” but I could never thank the resort enough for allowing that moment to happen. In what ways did Romance Travel Group make the planning less stressful for you? Shelli and Heather made the planning so much less stressful for me by handling just about all the logistics of our guests flying in and out plus their lodging at the resort. I’m sure it is a HUGE undertaking to have to handle the flight schedules, airline issues, billing with the resort, etc. so it was amazing to have that off of our shoulders and to have a resource that we could point our guests to when they asked us questions. Destination weddings are expected to increase in 2022 - and here's why! It's Unique! If an elaborate wedding ceremony is the last thing on your mind, you may want something a bit more scenic... more tranquil... and even a bit untraditional. Sound about right? Sure, you can make any wedding unique. But location offers an experience that makes it hard to forget. They're Romantic! On top of the sandy beaches, the colorful sunsets, and the warm Caribbean breeze, most resorts actually have special packages for newlyweds that are intended to enhance the romantic experience. Some of the perks we're talking about include room upgrades, resort points—and even spa credits. Couple's massage, anyone? Super Affordable! Speaking of perks, a lot of resorts offer wedding packages that include everything from the decor at the wedding ceremony, to the food and drink at the reception. Not to mention taxes, gratuities, and lovely accommodations! In fact, you can have a beautiful destination wedding for as little $10,000—quite the deal compared to the average American wedding of around $30,000+! Very Convenient! Besides travelling to the wedding destination itself, once you and your guests are there—you're there! It's nice to know you don't have to worry about rides to and from the ceremony, to the reception, then back to the hotel again—everything's usually within walking distance. Additionally, resorts typically have a workout facility, spa, and numerous restaurants and bars—a stamp of approval in the convenience department. Then be sure to consider these things before getting started! #1 Your Budget While a traditional wedding can easily cost $30,000, we can plan you the destination wedding of your dreams for nearly a quarter of the cost. With that said, there are typically three factors that play into your costs: the resort, the airfare, and the wedding package. These things all fluctuate depending on the time of year you book and where you’re traveling, so something to keep in mind when determining your budget! #2 Your Destination of Choice We recommend choosing a destination that is easy to get to, so your guests aren’t spending an entire vacation day traveling. Places like Mexico, Jamaica and the Dominican Republic are fairly easy to get to and only require a 4-5 hour flight. Locations that are more exotic require multiple connecting flights and transfers, making it an exhausting day for your guests to endure. #3 Your Wedding Date Your wedding travel costs will rely heavily on the date you choose. Peak seasons are usually from mid-January through Easter and will reflect the highest rates. Mid-season ranges from Easter through August, and even early January, and will have fairly reasonable rates. For a better bargain, try September through early November or early December. #4 Your Guest Count Generally, we find that about 30-40% of those you invite will be able to attend your destination wedding. But don’t let that discourage you! Not everyone can afford to take the time off or travel. We suggest having a reception back at home to celebrate with those who were unable to attend. #5 Your Resort Preference Adult-only or family-friendly? Active and lively? It's up to you! We highly recommend all-inclusive resorts because they provide you with meals and drinks, making it a lot easier on your guests and their budgets. Additionally, many all-inclusive resorts offer couples a semi-private reception, resort credits, upgrades, and more! #6 Your Ceremony Style Envisioning yourself tying the knot on the beach? Or perhaps, you’ve thought about saying “I do” under a beautifully-decorated gazebo? Oftentimes, your resort will offer many options for you to choose from based on your preferences and guest count. You’ll even have a plan B lined up in case it rains, so no need to worry about that! #7 Your Ceremony Type A legal ceremony is when you receive a marriage certificate from the destination you’re married in, and is recognized legally back home. These ceremonies typically require more paperwork, has additional fees, and occasional blood tests. A symbolic ceremony has no legal binding, and makes up approximately 80% of destination weddings.
