One of the first questions we hear from newly engaged couples is, "When should we start planning our destination wedding?"
The answer is a little different than many people expect.
Unlike a traditional wedding, planning a destination wedding isn't just about reserving a venue and choosing flowers. You're also coordinating travel for your guests, securing a room block, working within resort deadlines, and giving everyone enough time to prepare for an international vacation.
The good news is that there is a timeline that works really well.
Over the years, we've found that following a realistic planning schedule helps couples feel more organized, gives guests more flexibility, and creates a smoother experience from the first planning conversation all the way through wedding week.
Here's what that timeline looks like:
16 to 18 Months Before the Wedding: Start Planning
This is the sweet spot.
Starting your destination wedding planning about 16 to 18 months before your wedding gives you the most options and the most flexibility. Resort wedding calendars are typically open, group contracts are generally available, and you'll have plenty of time to make thoughtful decisions instead of rushing through the process.
This is also where much of the work happens behind the scenes.
Many couples are surprised that several weeks can pass before invitations are ever sent. That's because we're building the foundation that makes the rest of the planning process run smoothly.
During this stage, we'll help you:

- Check wedding date availability.

None of these steps are especially difficult, but together they take time.
This is something many couples don't realize at first. Planning a destination wedding involves many moving pieces, and taking the time to make informed decisions leads to a much smoother planning experience.
Of course, every couple is different. If you already know exactly what you want and can make decisions quickly, you may not need quite as much lead time. But for most couples, starting 16 to 18 months before the wedding creates the right balance between having plenty of options and avoiding unnecessary delays.
Can You Start Too Early?
Believe it or not, yes.
Many couples think the earlier they start, the better. While planning ahead is always a good idea, trying to book a destination wedding more than 18 to 24 months in advance can actually slow things down.
That's because many resorts haven't opened their wedding calendars yet. While some may be able to provide group rates that far in advance, your wedding date often can't be confirmed until the calendar officially opens.
In other words, you may find yourself waiting anyway.
That's why we help couples find the planning sweet spot, early enough to secure great options, but not so early that you're waiting months for the resort to catch up.
12 to 14 Months Before the Wedding: Invite Your Guests
Once your resort, wedding date, and room block are secured, it's time to invite your guests. We typically recommend sending invitations about 12 to 14 months before the wedding.
Why so early?
Because your guests aren't simply attending your wedding. They're planning an international vacation.
Giving them plenty of notice allows them to:
- Budget for the trip.
- Save vacation time from work.
- Arrange childcare if needed.
- Coordinate flights.
- Spread payments out over several months.
This timeline is especially important because resorts often require final payments several months before travel. In many cases, those final payments are due about five months before the wedding, although every resort has its own policies. Those payment deadlines are established by the resort as part of the group contract.
If invitations aren't sent until nine months before the wedding, guests may only have a few months to book and pay for their trip before everything is due. That can make it much harder for friends and family to attend.
Giving guests plenty of time simply gives them more opportunities to say yes.
4-5 Months Before the Wedding: The Best Time to Visit the Resort
One of the biggest misconceptions about destination wedding planning is that couples need to visit the resort before booking it.
In most cases, they don't.
Between virtual tours, Zoom meetings, YouTube videos, online reviews, destination wedding Facebook groups, and expert guidance from destination wedding specialists, there's more information available than ever before.
And perhaps most importantly, you don't have to figure it out alone.
Our team has personally visited many of the resorts we recommend. We can help you compare the guest experience, beach, food, service, wedding venues, rooms, and overall atmosphere based on firsthand knowledge, not just marketing photos. Pretty pictures are helpful. Firsthand experience is even better.
If you do want to visit your resort before the wedding, we usually recommend doing so after your group's final payment deadline, typically about four to five months before the wedding. By that point, you'll have a much more accurate guest count. Instead of estimating how many people might attend, you'll know who is actually coming. That allows you and your wedding coordinator to make informed decisions about ceremony layouts, reception spaces, seating arrangements, décor, and other details based on your real guest list. Many resort wedding coordinators will tell you that planning every detail too early often means repeating much of that work later because the guest count changes significantly.
Waiting until your attendance is finalized makes those planning meetings much more productive.
2 Weeks Before the Wedding: Final Travel Documents
As your wedding gets closer, the focus shifts from planning to preparing everyone for the trip.
Throughout the planning process, Romance Travel Group regularly communicates with your guests about important travel reminders, passport requirements, upcoming deadlines, and helpful planning tips.
Then, about two weeks before departure, we send detailed travel documents to everyone in your group.
These documents typically include:
- Resort check-in information.
- Airport transfer details.
- Arrival instructions.
- Currency information.
- Travel reminders.
- Helpful tips for a smooth arrival.
Our goal is simple: By the time your guests board the plane, they should feel informed, prepared, and excited for the week ahead.
